1. Overview
This Privacy Policy explains how Fondz Digital LTD. ("Fondz", "we", "us"), collects, uses, shares, and protects information when you use the Fondz merchant dashboard at invoice.fondz.ng and related storefront, invoicing, and payment tools (the "Platform"). It applies to Merchants who register an account, the employees and team members Merchants invite, and the customers who transact through a Fondz-powered storefront or invoice.
2. Information We Collect
We collect account information you provide at signup (name, email, phone number, business name and address); KYC verification information (BVN, NIN, passport or driver's license number, CAC registration number, business category, and representative details); financial information needed for payouts (bank account name, number, and resolved bank details); transaction data (orders, invoices, products, pricing, coupons, and stock movements); customer data you enter or that customers submit through your storefront (names, phone numbers, delivery addresses, and order history); team and HR data for employees you add (job titles, roles, and attendance where enabled); and technical data such as IP address, device and browser information, and cookies collected automatically as you use the Platform.
3. How We Use Your Information
We use collected information to create and secure your account, verify your identity and business for KYC and fraud-prevention purposes, process orders, invoices, and payouts, calculate wallet balances and withdrawals, provide customer support, generate reports and analytics on your dashboard, send transactional notifications and service updates, improve and maintain the Platform, and comply with legal and regulatory obligations, including those of the Central Bank of Nigeria and our payment partners.
4. Sharing of Information
We share information with licensed payment processors (including Paystack) to process payments and payouts, with identity-verification providers to complete KYC checks, with SMS and email delivery providers to send notifications, and with regulators or law enforcement where required by law. We do not sell your personal information or your customers' personal information to third parties. Data entered into your storefront and invoices (such as product listings and customer order details) is shared with the customers you transact with as necessary to complete each order.
5. KYC & Verification Data
Identity documents and numbers you submit for KYC (BVN, NIN, passport, or driver's license) are used solely to verify your identity and business, to activate payout and withdrawal features, and to meet anti-money-laundering obligations. This information is encrypted in storage where applicable, access is restricted to authorized personnel, and it is retained only for as long as needed for verification, regulatory, or dispute-resolution purposes.
6. Customer Data Handled by Merchants
As a Merchant, you act as the data controller for the personal information of your own customers that you collect through your storefront, invoices, or CRM. You are responsible for handling that data lawfully, including obtaining any consent required and honoring customer requests regarding their data. Fondz acts as a data processor for this information, storing and processing it on your behalf strictly to operate the Platform's storefront, invoicing, and order-management features.
7. Cookies & Similar Technologies
The Platform uses cookies and similar technologies to keep you signed in, remember your dashboard preferences, and understand how the Platform is used so we can improve it. You can control cookies through your browser settings, though disabling them may affect certain dashboard features.
8. Data Security
We apply administrative, technical, and physical safeguards designed to protect account, financial, and customer data against unauthorized access, alteration, or loss, including encrypted storage of sensitive fields, access controls tied to team member roles and permissions, and routine database backups. No system is completely secure, and we encourage you to keep your login credentials confidential and to promptly report any suspected unauthorized access.
9. Data Retention
We retain account, transaction, and KYC information for as long as your account is active and for a reasonable period afterward to meet legal, accounting, tax, and fraud-prevention obligations. Where you close your account, we may retain certain records where required by applicable law or to resolve disputes.
10. Your Rights
Subject to applicable law, including the Nigeria Data Protection Act, you may request access to, correction of, or deletion of your personal information, and may object to or restrict certain processing. Requests can be made by contacting us using the details below; we may need to verify your identity before acting on a request, and some information may be retained where required by law or legitimate business need.
11. International Data Transfers
Some of our service providers, including payment and infrastructure partners, may process data outside Nigeria. Where this occurs, we take reasonable steps to ensure such providers apply data protection standards consistent with this Policy and applicable law.
12. Children's Privacy
The Platform is intended for use by businesses and individuals aged 18 and above. We do not knowingly collect personal information from children, and we will delete any such information if we become aware it has been collected in error.
13. Changes to This Policy
We may update this Privacy Policy from time to time to reflect changes to the Platform or applicable law. Material changes will be communicated through the dashboard or by email, and continued use of the Platform after changes take effect constitutes acceptance of the revised Policy.
